RYNR vs HubSpot for Freight Forwarders

October 05, 2026

HubSpot is a capable general purpose CRM. It has no native concept of a lane, a mode, an incoterm or a rate validity, which means a freight forwarder buys the platform and then pays, in time or in money, to build the freight part themselves.

This comparison is written by the team behind RYNR, so read it with that in mind. We have tried to keep it to structural differences that you can verify yourself rather than claims you have to take on trust. Product details and pricing on both sides change, so check the current position on each vendor's own site before deciding.

The honest summary

HubSpot is broader. RYNR is narrower and already shaped for forwarding. Which one wins depends entirely on whether you have the appetite and the internal time to do configuration work.

Where the real difference sits

The data model

HubSpot thinks in contacts, companies and deals. A deal has one value and one close date. A forwarding enquiry is a lane, a mode, an incoterm, a ready date, a rate validity and a commodity, and the same customer sends dozens a year. You can model that in HubSpot with custom objects and properties. Somebody has to do it, and then maintain it.

RYNR ships with those objects already defined because it is built for one industry. What that category actually covers is set out in what a freight forwarding CRM is and is not.

Follow-up logic

Both platforms automate sequences. The difference is what the sequence knows. A follow-up that does not understand that an air rate goes stale in a day and an FCL rate does not will run the same cadence on both, which is wrong for at least one of them. The mode based version is in our follow-up sequence for air, LCL and FCL. Encoding that in a general CRM is possible and is work.

Who does the setup

This is the decisive question for most small and mid sized forwarders. General platforms assume somebody internal owns the configuration. In a forwarding office of twenty people, that person does not exist, and the project quietly stalls at the halfway point where the system is neither the old way nor working.

Seats

Per seat pricing changes behaviour. When adding a colleague costs money, teams share logins and stop recording things, and the data quality collapses. Check the seat model of anything you buy, on both sides.

When HubSpot is the better choice

We would rather say this plainly than pretend otherwise. Choose HubSpot if:

  • You have an in house marketing or revenue operations person who enjoys building systems
  • Your business is not only freight and you need one platform across several lines
  • You already run HubSpot successfully and the team uses it
  • You need the depth of its marketing suite more than you need freight specific structure

When a freight specific system makes more sense

  • Nobody internally has time to configure software
  • The problem you are solving is open quotes going cold, not marketing attribution
  • You want the freight vocabulary to be there on day one
  • You want to keep your TMS and add a sales layer rather than run a platform project

The question to ask either vendor

Show me an enquiry arriving, being quoted, going quiet and being chased, using the words my team uses. Not a generic pipeline. If the demo needs a configuration session before it can show you that, you have learned something useful.

Frequently asked questions

Can HubSpot be used for freight forwarding?

Yes. It requires custom objects and properties for lanes, modes, incoterms and rate validity, plus somebody to maintain that configuration as the business changes.

Is RYNR a replacement for HubSpot?

For the forwarding sales use case, it is an alternative. For a business running several unrelated lines through one marketing platform, HubSpot covers more ground.

Does either replace my TMS?

Neither should. Both are commercial systems and belong next to operations, not instead of it.

What should I compare first?

Setup effort and seat model, before feature lists. Those two decide whether the system is still in use a year later.

If you want to see the freight specific version running on your own lanes, book a demo.
